Government Department Task Force Meeting
August 22, 2002

Chair's Report

1. The ACC site visit from SACS (Southern Association of Colleges and Schools) that is part of our decennial reaccreditation process will be March 3-6, 2003.

2. The draft report form the Comptroller's Office (the performance review of ACC) has been presented to the administration for comments and responses. The final report is due out in November.

3. The Department's zero-based budget requests for FY03 for supplies and for non-capital expenditures less that $500 were approved. The cuts that were imposed on the Department's budget in FY 02 have rolled over to the current budget. In addition, the Dean's travel budget has been cut to the point that the Dean will only be able to reimburse travel expenses per faculty member up to $400. The Government Department's duplication budget is (and has been in recent years) inadequate for the number of faculty and sections that we have, so please try to be judicious in your duplication decisions.

4. There is a new Datatel server in the works which should make Datatel function more effectively. ACC also has a new Intranet page in the works, with an expected soft launch in September. And don't forget ACC's transition to "austincc.edu" from "austin.cc.tx.us". This will apply to Web addresses and e-mail addresses.

5. eTime is the electronic time sheet system that ACC is switching to. FT faculty will be expected to submit their monthly time sheets (even if there are no absences to report) using this system. There is a link from the Department's Web page to the log in page for eTime.

6. Everyone should receive the new edition of the Government Faculty Handbook either through intercampus or snail mail. There is some new information for this year, including updated requirements for syllabus components, changes to the evaluation system, eStaffing information for adjuncts, and an overview of the Instructional Program Review process the Department will be engaged in this year. As part of that process, we will need to engage in discussion of future tools for assessing student learning, recommendations for improving the department in the next four years, and the appropriate FT to PT faculty ratio.

7. Committee chairs for 2002-2003: Karry Evans will chair our Faculty Development Committee (kevans@; 3-3394). Hope Williams will chair our Adjunct Faculty Committee (hwilliam@; 3-4860). Frank Garrahan will chair our Student Assessment Committee (frankjg@; 3-4805). Marilyn Mote-Yale will chair our Faculty Evaluation Committee (mmyale@; 3-4054).

Checking your ACC e-mail from home (or Timbuktu)

Go to http://webmail.austincc.edu

1. Log in using your ACC e-mail username and password

2. Select "Mail" from the menu to view your inbox. From here you can read your e-mails, send messages, and delete messages.

3. Deleting e-mail: Place check in box, select "delete selected", then select "empty trash". Once you Empty the Trash, all deleted e-mails will be permanently deleted. If you don't select Empty Trash, then deleted e-mails will remain on the server.

4. Help can be found by calling the Help Desk (223-4357) or checking the procedures manual at www2.austincc.edu/infotech/resources/

Information Technology has a redesigned Web page. It can be found at http://www2.austincc.edu/infotech/ The page has links to IT resources, forms, and services as well as quicklinks to the Help Deks, virus information, and Datatel help.

Online Services coming soon. For faculty: class rosters that are easy to access and print; grades will soon be submitted via this system. For students: registration, unofficial transcripts. Check the link on the Department's Web page.

Spring 03 staffing schedule

1. TFC is currently staffing full-time faculty.

2. MSTAs and HPHs will enter preferences, 9/9 - 9/11.

3. Sections tentatively assigned to MSTAs and HPHs by TFC, 9/12-9/16.

4. Sections accepted or declined by MSTAs and HPHs, 9/17-9/20

5. All other adjuncts will enter preferences, 9/23-9/25.

6. Sections tentatively assigned by TFC, 9/26-9/30.

7. Sections accepted or declined by remaining adjuncts, 10/1-10/4

 

Student evaluations schedule

16-week semester: October 21 through November 8

First eight weeks: September 23 through October 4

12 week session: November 18 through December 6

Second eight weeks: November 18 through November 29

  • Faculty will receive student evaluations by January 17.
  • Adjunct faculty input forms must be submitted by January 31.
  • Adjunct evaluations will be completed and sent to Dean by February 28.
  • Full-time faculty input forms must be submitted by February 28.
  • Full-time evaluations will be completed and sent to Dean by March 28.

No more online faculty input forms. The form may be downloaded as a Microsoft Word document, filled out by the faculty member, submitted to the Faculty Evaluations committee by deadline. (Download the form at http://fe.austincc.edu/forms.html) Or, a preprinted form may be picked up at campus administrative offices, filled out by the faculty member, submitted to the Faculty Evaluations Committee by the deadline.

Your "to do" list for Fall:

Go online and enter your Fall office hours.

Read (and keep) the "Beginning of Semester Information Packet" found in your campus mailbox.

When you receive the information sheet from Gaye Lynn, fill it out and send it back to her.

Do not tell any student that there is room in your class unless there really is a spot available. Do not let anyone attend your class who is not on your class roll.
